Office Manager

The Office Manager is a key staff position, serving as the operations manager in performing all tasks required to keep the business running and growing from an administrative perspective. These include maintaining accounting records; managing employee benefits, conducting administrative client interactions; supporting employees’ client-related administration (such as travel and timekeeping); and managing office facilities. Critically, the Office Manager also serves as the point person for communications between MetaVu and clients, potential clients, contractors, and suppliers. Accordingly the Office Manager must demonstrate the qualities the MetaVu team strive to achieve:  capable, friendly, resourceful, independent, proactive, and accountable. The Office Manager may occasionally assist on research tasks for client projects and must demonstrate an interest in learning the business. The Office Manager may also be asked to help support company marketing and website efforts. And finally, having exposure to company finances and payroll, the Office Manager is expected to maintain the highest standards of discretion. In summary, the goal of the Office Manager role is to perform the function at such a level as to create competitive advantage for MetaVu. 

Major Responsibilities:
  • Maintaining accounting records in good order, including client invoicing, A/R maintenance, bill payments, payroll processing, bank account reconciliations, and monthly accounting close. May also be asked to prepare simple financial analyses (such as make or buy) and budget variance analyses.

  • Managing Human Resource issues such as employee benefits, paid-time-off tracking, employee communications, and related issues.

  • Interacting with clients and prospects: securing appointments, managing calendars, preparing for on-site meetings, etc.

  • Supporting employees’ client-related activities, such as making travel arrangements and enforcement of good timekeeping practices. May occasionally be asked to do billable work for client projects, including simple Excel spreadsheets and/or desktop research.

  • Managing office facilities and suppliers, including printers/copiers, recycling, other office services and MetaVu contractors.

  • Providing occasional marketing support, including proposal development, website development, presentation development, and printed marketing materials development.  

Qualifications:

  • Bachelor's degree (Business, Accounting, English, or other Arts).

  • 3-5 years experience in an office manager role in a professional services practives (attorneys, architects, consultants, real estate, etc.)

  • Excellent computer skills for common software (Microsoft Project, Visio, Word, Excel, Powerpoint etc) required.

  • Experience with Quickbooks or other popular accounting software.

  • Creative leader and problem solver, emotionally intelligent, team oriented and client sensitive.
